
PRIVACY POLICY
The privacy statement sets out how, from the first time you contact me, I will use and protect any personally identifiable information that you disclose to me either online, by phone, in writing or verbally during our therapy sessions. The data controller and processor for Evergreen Psychotherapy is Jette Bovingdon.
I seek to ensure the highest standards of compliance with United Kingdom data protection laws and regulations (GDPR - General Data Protection Regulation, 2018). I am also ICO (Information Commissioner’s Office) registered.
I do not socially engage with past or present clients either directly or indirectly i.e., in person, in writing or through social media.
WHAT INFORMATION DO I SHARE?
Except in the following situations, I will not share any information about you with other organisations or people:
Consent ~
I may share information with relevant medical professionals or others whom you have requested or agreed I need to contact.
Serious harm ~
I may share your information with the relevant authorities if I have reason to believe that this may prevent serious harm being caused to you or another person.
Compliance with the law ~
I may share strictly necessary information when the law requires me to - i.e., safeguarding, child protection, terrorism, drug/people trafficking, FGM, and serious crime.
Clinical Will ~
I have a clinical will which means in the event I suffer sudden death or a serious accident or illness, a named colleague will be able to access the contact details of clients so that they can be notified.
Supervision ~
It is an ethical requirement for any Psychotherapist offering therapeutic services to have regular supervision. Any supervisor used is an accredited member of the relevant accrediting body and works within their ethical framework.
THE DATA I COLLECT FROM YOU
To provide safe and professional psychotherapy, I collect information about you that includes personal and sensitive information:
Name
Address
Telephone numbers
Date of birth
Gender (or preferred identity)
Ethnicity
Age
Date of Birth
Relationships & children
Occupation
Telephone/SMS number
Email address
Please be aware that if you do not provide the personal information requested above, then I am unable to provide a professional Psychotherapy service to you.
In addition to personal information, I also collect more sensitive information such as:
Medical conditions
Prescribed medication
Psychological history and current difficulties
Relationships and history (including therapy history)
Any illicit substance uses
Sexuality
Offences
Financial information, including bank account details
Session/contact details and brief notes
Signed Therapy/ GDPR agreement
Some of this information will be collected directly from you, it may also be collected from a referring agency such as GP, Psychiatrist or Healthcare provider. In such cases I will also collect and process personal data provided by the referring agency. This includes basic contact information, referral information, and authorisation for psychotherapy.
other data I COLLECT
I also process personal data pursuant to my legitimate interests in running my business such as keeping invoices, receipts and documents relating to accounts, VAT, and tax returns. Credit card or bank card payments.
For my own marketing research, I will ask for information on how you learned about Evergreen Psychotherapy.
STORING YOUR PERSONAL DATA
I take all reasonably necessary steps to ensure that your data is treated securely. Paper files are anonymised and stored in a locked filing cabinet in a secure location. Electronic data is stored using an encrypted web-based storage facility and access to all data is password-protected.
I use an encrypted software and password protect documents, however, the transmission of information via the internet is not completely secure. Although I will do my best to protect your personal data, I am unable to absolutely guarantee the security of your data transmitted.
No information you provide is passed on without your consent. I will never sell your information to others.
HOW LONG IS YOUR DATA STORED FOR?
I comply with the BACP and EMDR UK regulatory requirements for Psychotherapists in terms of data storage and usage. They suggest note keeping for 7 years after the last contact and this is the advice I follow. After 7 years and in a timely manner, I securely shred paper records and delete electronic records.
I do not store any of your personal details on my business mobile.
YOUR RIGHTS REGARDING YOUR DATA
You have the right to control how your personal information is used. You can access the data stored about you. You may also withdraw your consent at any time. However, if you do this while actively receiving Psychotherapy, the service will have to end.
Any requests regarding your personal data or should you wish to withdraw consent, need to be made in writing, in the form of an email and sent to jette@evergreenpsychotherapy.co.uk. I will respond within one month from the date of receipt.
